Anyone who carries bulk materials — stockpile inventory in yards and silo inventory in vessels alike — on a balance sheet knows the ritual: at year-end the yard stands still, a survey crew walks the piles, and volume times an assumed density becomes the number that goes into the accounts. Most accounting frameworks do not actually demand this ritual. They allow approaches that fit bulk materials far better, above all the perpetual inventory method. An overview from measurement practice, explicitly not accounting advice: how you structure your inventory is a conversation with your auditor.
The three ways to take inventory. Using German GAAP (HGB) as a concrete example, since it spells the options out unusually clearly, the pattern repeats across jurisdictions:
- Count-day inventory: a physical count at or near the balance sheet date, in practice within a window of roughly ten days around it. The classic, and for bulk materials the hard case, more on that below.
- Deferred inventory: the count may take place up to three months before or two months after the reporting date, with the result rolled forward or back to the date by value. This relieves the calendar but changes nothing about the count itself.
- Perpetual inventory: a continuously maintained stock ledger, combined with at least one physical verification per item and year whose date is freely chosen. The year-end figure comes out of the records, not out of a heroic count on December 31st. Other frameworks reach the same place via cycle counting; the logic is identical.
Why bulk materials are the hard case for count-day inventory. Three reasons make the classic count the most expensive appointment of the year:
- Operations have to stop. A pile that is being loaded during the count cannot be counted. So handling rests for hours to days, precisely when year-end business is running.
- Survey capacity is scarce on the date. Everyone wants to measure at the same time. Whoever improvises with step-and-eye estimates buys 5–15 % scatter, on exactly the number that is supposed to be audited.
- The density assumption. What gets measured is volume; what gets booked is tonnes. A flat bulk density across compacted and loose zones shifts the result systematically, and the finished number never shows it.
The catch with perpetual inventory, and how it resolves. Classic perpetual inventory was built for counted goods: every receipt and issue sits on a document, and the ledger is right as long as the documents are. Bulk materials have no piece counts. Loader movements go unbooked, abrasion and moisture change the stock without any document, and belt scales drift 2–3 % between calibrations. A purely bookkeeping roll-forward therefore reliably runs off the rails for bulk.
Continuous LiDAR measurement inverts the principle: the roll-forward no longer consists of book values but of live measurements. Stationary 3D sensors capture every stock movement at ±1 % volume accuracy, stockpile measurement runs automatically, and the stock ledger is checked against measured reality daily instead of once a year. That is what makes perpetual inventory practically viable for bulk materials in the first place, with continuous material balance reconciliation against scales and delivery notes as a by-product.
What the auditor wants to see. In practice, three requirements keep coming up:
- A traceable, documented method. Measurement principle, raw data and processing must be reproducible; a procedure only one employee understands is not a procedure.
- Calibration evidence. Per-zone density calibration with records, sensor reference measurements, a complete history of calibration states.
- An independent verification measurement. An annual terrestrial laser scan as a cross-check also covers the physical verification that generally accepted accounting practice expects per item under perpetual inventory. Exactly this verification is what we offer as an inventory service with a signed report, results within two working days.
Whether a given setup satisfies the requirements is the auditor's call in each individual case. Talk to them before you switch, not after.

The bottom line. The count-day approach is the most awkward of the permitted methods for bulk materials: it costs operating time, ties up scarce surveyors and hangs on a density assumption. Perpetual inventory spreads the effort across the year and replaces the year-end tour de force with a continuously measured roll-forward plus a plannable verification scan. If your bulk inventory is still a count-day drama, it is worth a conversation with your auditor about the perpetual method, and then a conversation with us about the measurement technology that carries it.
Wer Schüttgut bilanziert, kennt das Ritual: Zum Jahresende ruht der Betrieb, ein Vermessungstrupp läuft die Halden ab, und aus Volumen mal Dichteannahme wird die Zahl, die in die Bilanz geht. Das Handelsgesetzbuch verlangt dieses Ritual so nicht. Es kennt Verfahren, die deutlich besser zu Schüttgut passen, allen voran die permanente Inventur. Ein Überblick aus der Messtechnik-Praxis, ausdrücklich keine Rechtsberatung: Wie Sie Ihre Inventur konkret gestalten, klären Sie mit Ihrem Wirtschaftsprüfer.
Die Inventurarten nach HGB. § 240 HGB verpflichtet zur jährlichen Bestandsaufnahme; § 241 HGB erlaubt Vereinfachungen. Die drei praxisrelevanten Inventurarten:
- Stichtagsinventur: die körperliche Aufnahme zeitnah zum Bilanzstichtag, in der Praxis meist in einem Fenster von rund zehn Tagen davor oder danach. Der Klassiker, und für Schüttgut der Härtefall, dazu gleich mehr.
- Verlegte Inventur (§ 241 Abs. 3 HGB): die Aufnahme darf bis zu drei Monate vor oder zwei Monate nach dem Stichtag liegen; der Bestand wird wertmäßig auf den Stichtag fortgeschrieben bzw. zurückgerechnet. Das entzerrt den Termin, ändert aber nichts am Grundproblem der Aufnahme selbst.
- Permanente Inventur (§ 241 Abs. 2 HGB): laufende Bestandsfortschreibung in einer Lagerbuchführung, kombiniert mit einer körperlichen Aufnahme je Position, die nach den Grundsätzen ordnungsmäßiger Buchführung zur permanenten Inventur gehört und deren Termin frei wählbar ist. Der Stichtagswert kommt aus den Büchern, nicht aus einer Hauruck-Aktion am 31. Dezember.
Warum Schüttgut der Härtefall der Stichtagsinventur ist. Drei Gründe machen die klassische Schüttgut-Inventur zum teuersten Termin des Jahres:
- Der Betrieb muss stehen. Eine Halde, auf der während der Aufnahme verladen wird, ist nicht aufnehmbar. Also ruht der Umschlag für Stunden bis Tage, und zwar genau dann, wenn das Jahresendgeschäft läuft.
- Vermessungskapazität ist am Stichtag knapp. Alle wollen zum selben Termin messen. Wer per Schrittmaß und Augenmaß improvisiert, handelt sich 5–15 % Streuung ein, ausgerechnet bei der Zahl, die testiert werden soll.
- Die Dichteannahme. Gemessen wird Volumen, bilanziert werden Tonnen. Eine pauschale Schüttdichte über verdichtete und lockere Zonen hinweg verschiebt das Ergebnis systematisch, und niemand sieht es der fertigen Zahl an.
Der Haken an der permanenten Inventur, und wie er sich löst. Die klassische permanente Inventur wurde für gezählte Ware gebaut: Jeder Zugang und Abgang steht auf einem Beleg, die Lagerbuchführung stimmt, solange die Belege stimmen. Schüttgut kennt keine Stückzahlen. Radladerbewegungen bleiben unverbucht, Abrieb und Feuchte verändern den Bestand ohne jeden Beleg, und Bandwaagen driften 2–3 % zwischen zwei Kalibrierungen. Eine rein buchhalterische Fortschreibung läuft deshalb bei Schüttgut zuverlässig aus dem Ruder.
Kontinuierliche LiDAR-Messung dreht das Prinzip um: Die Fortschreibung besteht nicht mehr aus Buchwerten, sondern aus laufenden Messwerten. Stationäre 3D-Sensoren erfassen jede Bestandsveränderung mit ±1 % Volumengenauigkeit, die Haldenvermessung läuft automatisch, und die Lagerbuchführung wird täglich mit der gemessenen Realität abgeglichen statt einmal im Jahr. Damit wird die permanente Inventur für Schüttgut praktisch überhaupt erst tragfähig, und der laufende Massenbilanz- Abgleich gegen Waagen und Lieferscheine kommt als Nebenprodukt dazu.
Was der Prüfer sehen will. In der Praxis kristallisieren sich immer wieder drei Anforderungen heraus:
- Eine nachvollziehbare, dokumentierte Methode. Messprinzip, Rohdaten und Auswertung müssen reproduzierbar sein; ein Verfahren, das nur ein einzelner Mitarbeiter versteht, ist keines.
- Kalibrier-Nachweise. Zonenweise Dichtekalibrierung mit Protokoll, Referenzmessungen der Sensorik, lückenlose Historie der Kalibrierstände.
- Eine unabhängige Kontrollmessung. Eine jährliche terrestrische Laserscan-Aufnahme als Gegenprobe deckt zugleich die körperliche Aufnahme ab, die nach den Grundsätzen ordnungsmäßiger Buchführung zur permanenten Inventur gehört. Genau diese Kontrollmessung bieten wir als Inventur-Dienstleistung mit unterschriebenem Protokoll an, DACH-weit, Ergebnis in zwei Werktagen.
Ob ein konkretes Setup den Anforderungen genügt, entscheidet der Prüfer im Einzelfall. Sprechen Sie mit ihm, bevor Sie umstellen, nicht danach.

Das Fazit. Die Stichtagsinventur ist für Schüttgut das unbequemste der drei zulässigen Verfahren: Sie kostet Betriebszeit, bindet knappe Vermesser und hängt an einer Dichteannahme. Die permanente Inventur verteilt den Aufwand über das Jahr und ersetzt den Jahresend-Kraftakt durch eine laufend gemessene Fortschreibung plus eine planbare Kontrollmessung. Wenn Ihre Schüttgut-Inventur heute noch ein Stichtags-Drama ist, lohnt sich das Gespräch mit dem Wirtschaftsprüfer über § 241 HGB, und danach das Gespräch mit uns über die Messtechnik, die es trägt.
Chi porta rinfuse a bilancio conosce il rituale: a fine anno il piazzale si ferma, una squadra di rilievo percorre i cumuli, e il volume moltiplicato per una densità ipotizzata diventa il numero che entra in contabilità. La maggior parte dei quadri contabili in realtà non impone questo rituale. Ammette approcci molto più adatti alle rinfuse, primo fra tutti il metodo dell'inventario permanente. Una panoramica dalla pratica di misura, esplicitamente non una consulenza contabile: come strutturate il vostro inventario è una conversazione con il vostro revisore.
I tre modi di fare inventario. Prendendo come esempio concreto i principi contabili tedeschi (HGB), perché esplicitano le opzioni con insolita chiarezza, lo schema si ripete nelle varie giurisdizioni:
- Inventario a data di bilancio: una conta fisica alla data di bilancio o in prossimità di essa, in pratica entro una finestra di circa dieci giorni intorno alla data. Il classico, e per le rinfuse il caso difficile, ne parliamo più avanti.
- Inventario differito: la conta può avvenire fino a tre mesi prima o due mesi dopo la data di riferimento, con il risultato riportato alla data per valore, in avanti o all'indietro. Questo alleggerisce il calendario ma non cambia nulla della conta in sé.
- Inventario permanente: un registro di magazzino tenuto in continuo, combinato con almeno una verifica fisica per articolo e anno, la cui data è a libera scelta. Il dato di fine anno esce dalle registrazioni, non da una conta eroica il 31 dicembre. Altri quadri normativi arrivano allo stesso punto tramite il cycle counting; la logica è identica.
Perché le rinfuse sono il caso difficile per l'inventario a data di bilancio. Tre ragioni rendono la conta classica l'appuntamento più costoso dell'anno:
- L'operatività deve fermarsi. Un cumulo in fase di carico durante la conta non può essere contato. Quindi la movimentazione si ferma per ore o giorni, proprio quando gira il business di fine anno.
- La capacità di rilievo scarseggia alla data. Tutti vogliono misurare nello stesso momento. Chi improvvisa con stime a passi e a occhio si compra una dispersione del 5–15 %, proprio sul numero che dovrebbe essere sottoposto a revisione.
- L'ipotesi di densità. Ciò che si misura è il volume; ciò che si contabilizza sono le tonnellate. Una densità apparente uniforme tra zone compattate e zone sciolte sposta il risultato in modo sistematico, e il numero finale non lo mostra mai.
Il punto debole dell'inventario permanente, e come si risolve. L'inventario permanente classico è nato per merci contabili a pezzo: ogni entrata e uscita poggia su un documento, e il registro è corretto finché lo sono i documenti. Le rinfuse non hanno conte a pezzo. I movimenti delle pale restano non registrati, abrasione e umidità cambiano la giacenza senza alcun documento, e le bilance a nastro derivano del 2–3 % tra le calibrazioni. Un riporto puramente contabile, per le rinfuse, esce quindi dai binari con affidabilità.
La misurazione LiDAR continua inverte il principio: il riporto non è più fatto di valori contabili ma di misure dal vivo. Sensori 3D stazionari rilevano ogni movimento di magazzino con precisione volumetrica ±1 %, la misurazione dei cumuli gira in automatico, e il registro di magazzino viene verificato ogni giorno contro la realtà misurata invece che una volta l'anno. È questo a rendere l'inventario permanente praticamente percorribile per le rinfuse, con la riconciliazione continua del bilancio di materiale contro pese e bolle di consegna come sottoprodotto.
Cosa vuole vedere il revisore. Nella pratica ricorrono tre requisiti:
- Un metodo tracciabile e documentato. Principio di misura, dati grezzi ed elaborazione devono essere riproducibili; una procedura che capisce un solo dipendente non è una procedura.
- Evidenze di calibrazione. Calibrazione della densità per zona con registrazioni, misure di riferimento dei sensori, uno storico completo degli stati di calibrazione.
- Una misura di verifica indipendente. Una scansione laser terrestre annuale come controprova copre anche la verifica fisica che la prassi contabile generalmente accettata richiede per articolo nell'inventario permanente. Esattamente questa verifica è ciò che offriamo come servizio di inventario con report firmato, risultati entro due giorni lavorativi.
Se una data configurazione soddisfa i requisiti è una decisione del revisore nel singolo caso. Parlatene con lui prima di cambiare, non dopo.

In sintesi. L'approccio a data di bilancio è il più scomodo dei metodi ammessi per le rinfuse: costa tempo di esercizio, impegna topografi scarsi e si regge su un'ipotesi di densità. L'inventario permanente distribuisce lo sforzo sull'anno e sostituisce il tour de force di fine anno con un riporto misurato in continuo più una scansione di verifica pianificabile. Se il vostro inventario di rinfuse è ancora un dramma da data di bilancio, vale una conversazione con il vostro revisore sul metodo permanente, e poi una conversazione con noi sulla tecnologia di misura che lo sostiene.
